Privacy and learner information
Privacy Policy
This policy explains what information Brightoria Learn may collect, why it is used, when it may be shared, how long it may be retained, and what choices may be available.
Only the information needed for a thoughtful service.
01. Scope of this policy
This Privacy Policy explains how Brightoria Learn handles personal information connected with the website, tutoring inquiries, scheduling, educational support, billing, customer service, and related communications. It applies to prospective customers, adult learners, parents, guardians, and minor learners whose services are arranged by an authorized adult.
The website is designed primarily for adults arranging educational support. Children under thirteen should not independently submit personal information.
02. Information provided directly
- Contact details such as name, email address, telephone number, and mailing or billing address.
- Learner details such as age range, grade or study level, subject, goals, availability, and areas of difficulty.
- Inquiry, scheduling, lesson, customer-service, accessibility, and feedback communications.
- Files or extracts voluntarily supplied for tutoring, such as instructions, notes, attempted exercises, or teacher feedback.
- Billing records and transaction references. Full payment-card data is normally handled by the applicable payment processor rather than stored directly by Brightoria Learn.
03. Information collected automatically
When the website is visited, basic technical information may be collected through Shopify, hosting infrastructure, security tools, and permitted analytics. This may include IP address, browser type, device type, approximate region, referring page, pages viewed, timestamps, and cookie or similar identifiers.
Technical data is used to deliver the website, maintain security, remember permitted preferences, understand general site performance, and diagnose errors. The Cookie Policy provides additional detail.
04. Information about minor learners
Brightoria Learn seeks to collect only information reasonably necessary to arrange and provide supplemental educational support. For a minor learner, the parent or legal guardian should provide the inquiry and account information, authorize the service, and decide what educational records may be shared.
Brightoria Learn does not ask a child under thirteen to create an independent account or submit the public contact form. If information is discovered to have been submitted directly by a child under thirteen without appropriate adult involvement, Brightoria Learn will take reasonable steps to delete it or obtain lawful parental authorization where appropriate.
05. How information is used
- Responding to inquiries and determining whether a requested service is available and appropriate.
- Planning and delivering tutoring, homework assistance, learning plans, and knowledge-review sessions.
- Scheduling, reminders, attendance administration, customer support, and service-related communications.
- Processing authorized payments, maintaining accounting records, preventing fraud, and resolving billing questions.
- Protecting learners, tutors, the website, and business systems from misuse or security incidents.
- Complying with legal obligations and establishing, exercising, or defending legal claims.
- Improving service structure and website usability using information that is aggregated or minimized where practicable.
06. Legal bases where applicable
Depending on the customer’s location, processing may rely on performance of a contract, steps requested before entering a contract, compliance with law, legitimate interests, consent, or protection of vital interests. Brightoria Learn uses the legal basis that reasonably fits the specific activity.
Where consent is the required basis, consent may be withdrawn prospectively. Withdrawal does not invalidate earlier lawful processing and may limit the ability to provide a requested service.
07. Service providers
Information may be shared with service providers that support website hosting, ecommerce, scheduling, communications, video meetings, document storage, accounting, payment processing, security, and professional advice. Providers receive information only as reasonably necessary for their role and are expected to handle it under applicable contractual and legal duties.
Brightoria Learn does not authorize a service provider to use educational inquiry information for unrelated independent marketing.
08. Tutors and educational personnel
A tutor may receive the learner information, materials, goals, and relevant communications needed to prepare and conduct a session. Access should be limited to the accepted engagement and appropriate administrative needs.
Parents or guardians may receive session, scheduling, progress, or safety communications concerning a minor learner. Brightoria Learn does not promise confidentiality from the responsible adult when the adult arranged and pays for the service.
09. Payment information
Payments may be processed by Shopify-supported or other approved payment providers. Those providers may collect payment-card information, billing details, fraud signals, and transaction identifiers under their own privacy notices and security practices.
Brightoria Learn generally receives confirmation, amount, status, limited billing details, and transaction references rather than complete card numbers or security codes.
10. Cookies and preference controls
Essential cookies may be used for website operation, security, checkout, language or theme preferences, and session continuity. Optional analytics or marketing technologies should be used only in accordance with applicable consent requirements and available Shopify settings.
Browser controls can block or delete cookies, but doing so may affect website functions. More detail appears in the Cookie Policy.
11. Data retention
Information is retained only for as long as reasonably necessary for the purpose collected, including service delivery, educational continuity, customer support, accounting, dispute resolution, fraud prevention, and legal compliance.
Retention periods may differ by record type. Inquiry records that do not lead to a service are normally kept for a shorter period than transaction, tax, or active learner records. When information is no longer needed, Brightoria Learn will delete, anonymize, or securely isolate it as appropriate.
12. Security practices
Brightoria Learn uses reasonable administrative, technical, and organizational measures appropriate to the nature of the information, such as access controls, account security, reputable providers, software maintenance, and limited internal access.
No internet transmission or storage system can be guaranteed completely secure. Customers should avoid sending unnecessary identity documents, medical records, passwords, or highly sensitive information through ordinary website forms or email.
13. No sale of personal information
Brightoria Learn does not sell personal information for money. It does not intend to share tutoring inquiry or learner information for cross-context behavioral advertising. Certain website technologies may nevertheless be legally classified as “sharing,” “targeted advertising,” or similar activity in some jurisdictions, depending on configuration.
Where applicable, Brightoria Learn will honor valid opt-out signals and requests through available privacy controls.
14. Individual privacy choices
- Request access to personal information reasonably linked to the requester.
- Request correction of inaccurate information.
- Request deletion, subject to lawful retention needs and exceptions.
- Object to or restrict certain processing where the law provides that right.
- Withdraw consent for future processing when consent is the applicable basis.
- Request a portable copy where legally required and technically reasonable.
- Appeal a denied privacy request where applicable law provides an appeal right.
15. Identity verification and authorized agents
Brightoria Learn may request reasonable information to verify identity, authority over a minor learner, or authorization of an agent before fulfilling a privacy request. Verification helps prevent disclosure or deletion at the request of an unauthorized person.
Only information reasonably necessary for verification will be requested. A request may be limited or denied when identity or authority cannot be adequately confirmed.
16. International access and transfers
The website may be accessed from locations outside the United States, and some service providers may process information in other jurisdictions. Privacy laws and government-access rules may differ from those in the visitor’s location.
Where required, Brightoria Learn will use an available lawful transfer mechanism or provider commitment appropriate to the transfer.
17. Communications and marketing
Service communications may include responses to inquiries, scheduling details, reminders, policy notices, security messages, and billing information. These are not necessarily optional while a service is active.
Promotional email, if used, should identify the sender, avoid deceptive content, include a valid physical address, and provide a functioning method to stop future promotional messages. Opt-out requests will be honored as required by applicable law.
18. Changes to privacy practices
This policy may be revised as services, technologies, legal requirements, or providers change. Material changes will be presented in a reasonably noticeable manner when required.
Continued use of the website after a revised policy is published does not eliminate privacy rights granted by applicable law.
