Children’s Privacy & Parent Consent
This policy explains adult involvement, parental authorization, data minimization, session communication, and privacy choices when services are arranged for a child.
A child’s learning information deserves careful boundaries.
01. Purpose and audience
This policy explains how Brightoria Learn approaches privacy and parental authorization when tutoring is arranged for a child. It supplements the Privacy Policy and Tutoring Services Agreement.
The public website and inquiry form are designed for adults. A parent or legal guardian should arrange services for a minor learner.
02. Children under thirteen
Children under thirteen must not independently submit their name, email address, telephone number, school details, files, photographs, recordings, or other personal information through the website. The responsible adult should submit the inquiry and remain the primary contact.
If Brightoria Learn has actual knowledge that personal information was submitted directly by a child under thirteen without appropriate authorization, it will take reasonable steps to delete the information or obtain verifiable parental consent when continued processing is appropriate and lawful.
03. Parental authority
The adult arranging services represents that the adult is the parent, legal guardian, or another person lawfully authorized to make the relevant decisions. Brightoria Learn may ask reasonable questions or documentation when authority is unclear, while avoiding unnecessary collection.
A person without lawful authority must not enroll or share records concerning a child.
04. Information that may be needed
- Parent or guardian name, contact details, billing details, and scheduling preferences.
- Child’s first name or preferred name, age range, grade or study level, subject, general learning goals, and availability.
- Relevant school instructions, attempted work, notes, and teacher feedback voluntarily supplied by the responsible adult.
- Attendance, session topics, educational progress observations, and recommended next steps.
- Accessibility or support information the parent chooses to provide when reasonably necessary for service delivery.
05. Information Brightoria Learn does not normally need
Brightoria Learn does not normally need a child’s government identification number, complete medical record, account password, precise location, biometric identifier, or full school disciplinary record. Customers should not submit such information unless Brightoria Learn has specifically explained a lawful and necessary reason.
Sensitive information should be minimized and shared through an appropriate method.
06. Purpose of child information
Child information is used to determine whether a requested subject and level can be supported, prepare sessions, adapt explanations, communicate with the responsible adult, maintain safety, document attendance, and improve educational continuity.
Child information is not intentionally used for behavioral advertising or sold for money.
07. Consent and authorization process
Before services for a young child begin, Brightoria Learn may require the adult to confirm identity, contact information, authority, acceptance of policies, and consent to the necessary information practices. The form and level of verification may depend on the information, service, and applicable law.
Consent applies only to the described educational service and related administration. A materially different use may require additional notice or consent.
08. Parent access and choices
A verified parent or guardian may request access to child information reasonably associated with the engagement, request correction, request deletion subject to lawful exceptions, or withdraw consent for future optional processing.
Withdrawing necessary authorization may require the service to stop because Brightoria Learn may no longer be able to schedule, communicate, or safely provide tutoring.
09. Session communications
For minor learners, scheduling, billing, material service changes, and significant concerns should be communicated to the responsible adult. A tutor may communicate directly with the learner during the educational session through approved channels.
Brightoria Learn may limit private direct messaging outside sessions and may require the parent or guardian to be included.
10. Online session environment
The parent or guardian is responsible for providing an appropriate physical location, device, internet connection, and level of adult availability. The learner should not disclose private household information, passwords, or unrelated personal details during a session.
Brightoria Learn may recommend that virtual backgrounds or neutral spaces be used when appropriate.
11. Recordings and images
Sessions are not routinely recorded. A recording, photograph, or screenshot involving a child should not be created or used without a defined educational or safety purpose and appropriate written authorization from the responsible adult, together with any other legally required consent.
Parents and learners must not record or publish a tutor or session without prior written permission.
12. Service providers
Limited child information may be processed by providers supporting video meetings, scheduling, secure files, website operations, or communications. Brightoria Learn seeks to use reputable providers and limit information to what is reasonably necessary.
Parents should review platform information provided for the selected session method and may raise concerns before the first session.
13. School involvement
Brightoria Learn is independently arranged supplemental support and does not automatically act as an agent of a child’s school. Information will not be sent to a school merely because the learner attends it.
If a parent requests coordination with a teacher or school, Brightoria Learn may require written authorization and confirmation that the recipient is appropriate.
14. Retention of child information
Child information is retained only as long as reasonably necessary for the active service, educational continuity, parent support, accounting, dispute handling, safeguarding records, and legal duties.
When no longer needed, information will be deleted, anonymized, or securely isolated as appropriate. Parents may ask about retention for a specific record type.
15. Security and confidentiality
Brightoria Learn uses reasonable access controls and reputable systems, but no online service can promise absolute security. Parents should use strong account security, protect meeting links, and send only necessary files.
An unauthorized disclosure concern should be reported promptly to the privacy mailbox.
16. Safety disclosures
Privacy is important, but Brightoria Learn may disclose information when reasonably necessary to address a credible risk of harm, comply with law, respond to lawful process, or protect rights and safety. Any disclosure should be limited to the circumstances and legal basis.
Brightoria Learn is not an emergency service. The responsible adult should contact appropriate local services for urgent danger.
17. No independent child purchase
A minor should not independently purchase services, enter payment details, or accept financial terms. The adult customer is responsible for payment and contract decisions.
If an unauthorized minor purchase is reported, Brightoria Learn will investigate the transaction and apply the Refund Policy and applicable law.
18. Questions and concerns
A parent or guardian may contact the privacy mailbox with questions about collection, consent, access, deletion, a service provider, or a suspected unauthorized submission. The request should identify the adult, the learner, and the relevant service without including unnecessary sensitive information.
Brightoria Learn may verify identity and authority before disclosing or deleting child information.
