Cancellation & Rescheduling Policy
This policy explains how timely cancellations, late changes, no-shows, illness, technology problems, and tutor cancellations are handled.
Time can be flexible without becoming unclear.
01. Why this policy exists
Tutoring time is reserved for one learner and often requires preparation. This policy balances flexibility for families with reasonable protection for time that cannot easily be offered to another learner at the last minute.
The specific booking confirmation may provide a more generous rule. It will not impose a stricter rule than this policy without clear advance disclosure.
02. Standard cancellation period
A customer may cancel or request a new time without a cancellation charge when notice is received at least twenty-four hours before the confirmed session start time.
Notice is effective when received through the agreed scheduling or business communication channel, not when the customer intended to send it.
03. Late cancellation
A cancellation received less than twenty-four hours before the start time may be charged up to the full session price because the time and preparation were reserved. Brightoria Learn may offer a one-time courtesy credit based on circumstances, but a courtesy does not change the policy for future sessions.
No separate penalty will exceed the confirmed session price unless an additional nonrefundable custom deliverable was clearly agreed.
04. No-show
A learner is considered a no-show when the learner has not joined or contacted Brightoria Learn within fifteen minutes after the confirmed start time. The tutor may remain available for the reserved period or end after the waiting period depending on the circumstances.
A no-show may be charged at the full session price. The session is not automatically moved to another date.
05. Late arrival
A late learner may use the remaining reserved time. The session normally ends at the original end time to protect later commitments.
If the tutor is late, the customer will receive the missing instructional time through an extension, replacement time, credit, or proportionate refund.
06. Rescheduling requests
Rescheduling is subject to tutor availability and is not complete until a new time is confirmed. A request made inside the cancellation period may be treated as a late cancellation if no suitable replacement time is available.
Customers should not assume that a recurring weekly time automatically moves when one session is changed.
07. Illness and emergencies
Brightoria Learn recognizes that genuine illness and emergencies occur. The customer should communicate as soon as reasonably possible. A documented or credible emergency may receive a credit or flexible rescheduling at Brightoria Learn’s discretion.
The customer should not disclose unnecessary medical details. A brief explanation sufficient to evaluate the request is normally enough.
08. Tutor cancellation
If Brightoria Learn cancels a session, the customer may choose a reasonable replacement time, service credit, or refund for the affected undelivered session. Brightoria Learn is not responsible for unrelated consequential costs, such as a customer’s travel or missed work, except where required by law.
Repeated tutor-side cancellations may justify ending the recurring arrangement and refunding eligible unused prepaid sessions.
09. Technical problems
When customer-side technology prevents participation and the tutor remained available, the session may be treated as late-cancelled or missed. The tutor will make reasonable efforts to troubleshoot or use an agreed backup method.
When tutor-side or platform-wide technology prevents meaningful service, the affected time will normally be rescheduled, credited, or refunded.
10. Packages and recurring sessions
Cancelling one session does not automatically cancel an entire package or recurring schedule. The customer must clearly state whether future sessions should also be released.
Unused sessions remain subject to any package validity period and the Refund Policy.
11. Personalized learning plan work
A learning plan may involve preparation performed outside a live session. A cancellation after preparation has begun may result in a charge for completed work, even if a review meeting has not yet occurred.
Brightoria Learn will identify completed deliverables and any remaining refundable amount.
12. How to request a change
A request should include the customer name, learner name or reference, original date and time, and preferred alternatives. Do not include passwords, payment-card numbers, or unnecessary sensitive information.
Use the tutoring or general inquiries mailbox listed below unless the booking confirmation names another channel.
13. Fair and consistent application
Brightoria Learn will apply this policy in good faith and may consider accessibility needs, emergencies, provider outages, or other exceptional circumstances. Similar cases should be handled consistently while recognizing that facts can differ.
A waiver for one booking does not create a permanent entitlement to future waivers.
